You will have a separate session with our team to make sure your onboarding process for your new team member will be as smooth as possible. We’ll work with you every step of the way.

Working hours can be tailored to suit your needs. Many Filipino VAs are flexible and willing to adjust to UK business hours or work a split shift. However, due to the 8-hour time difference, some clients prefer a mix of overlapping hours in the UK morning and independent work hours later. We can help you coordinate this with your VA.

Time zones can be managed by agreeing on core working hours that overlap with UK business hours. Using project management tools and asynchronous communication can also help bridge the gap.

Tools like Slack or Microsoft Teams for communication and Asana, Trello, or ClickUp for project management can streamline collaboration. Google Drive or Dropbox are excellent for document sharing, while Zoom or Google Meet and Whatsapp work well for video calls. We can provide recommendations and setup support as needed.

Yes, Filipinos often value harmony in the workplace, so they may communicate indirectly, especially if they have concerns or disagree with something. They may also avoid confrontation and need a safe environment to ask questions. Recognizing the importance of respect, politeness, and showing appreciation in feedback can go a long way. Feedback is best given in a constructive, positive manner. Acknowledge work done well, and frame areas of improvement as learning opportunities. Filipinos generally respond well to respectful, supportive feedback and will strive to meet your expectations when it’s clear and constructive.

Provide detailed instructions and clarify your expectations upfront. Written instructions, recorded video guides, or sample templates can be very helpful. Encourage your VA to ask questions if something isn’t clear, and consider a short daily or weekly check-in to review progress and address any questions.

Yes, your VA can handle confidential information, and we take data security seriously. Our VAs sign confidentiality agreements, and we implement security protocols to ensure your information remains private. However, if specific tools or software are required for added security, let us know so we can assist in setting them up.

If your business has time-sensitive or urgent needs, discuss these with us, and we’ll coordinate with your VA. While many VAs are flexible, additional hours or weekend work might incur extra charges and should be pre-arranged to ensure availability.

All holiday requests are filed with us with a minimum of 2 weeks notice. If required, we will cover the holidays with another VA at no cost. If an emergency arises, we will inform you promptly and arrange for temporary coverage (if available) or adjust timelines as necessary.

Payments are typically billed every two weeks, based on agreed hours or project rates. We handle VA compensation directly to streamline the process. Specific payment terms can be discussed and agreed upon at the outset.

We only keep a small fraction of what we charge. Typically 15-25%. Our policy is to run a professional, streamlined and automated business so we can transfer all savings to our clients while paying our VAs well and keeping them happy.
